PRIVACY NOTICE
Privacy Notice
How we collect, use and protect personal information through the PAWDUX LABS website.
Last updated: 30 October 2026
1. Introduction
PAWLAND PET SERVICES LTD, trading as PAWDUX LABS, respects the privacy of website visitors, prospective clients and scientific professionals who register their interest in our expert network. This notice explains how personal information is collected, used, stored and protected through this website.
PAWDUX LABS is operated by PAWLAND PET SERVICES LTD, a company registered in England and Wales under company number 16171288. PAWLAND PET SERVICES LTD is intended to act as the data controller for information collected through this website where it determines the purposes and means of processing. Please confirm the controller position before publication.
2. Information we collect
The information depends on how you use the website and what you choose to provide.
- Website and contact information: name, email address, organisation, professional role and details included in a message or enquiry.
- Expert network registrations: name and contact details, country, LinkedIn profile if supplied, scientific specialisation, qualifications, experience, professional registration details if supplied, areas of interest, availability, AI experience, additional information and any consent choices. The current form does not accept CV or document uploads.
- Project enquiries: organisation and professional contact details, AI system type, scientific domain, requested services, project objectives, evaluation priorities, scope, timing, indicative volume and budget, preferred contact method and other information supplied.
- Technical and security information: the service may process an IP address for submission rate-limiting and security. Hosting or email providers may also process technical request or delivery information. The website does not directly ask for browser or device details in its forms.
3. How we use personal information
We may use information to respond to enquiries, understand prospective project requirements, communicate with prospective clients, assess expressions of interest from scientific professionals, identify relevant expertise for potential opportunities, contact suitable professionals about assignments, maintain communication records, protect website security and meet legal obligations. Joining the expert network is an expression of interest; it does not guarantee an assignment or employment.
4. Lawful bases for processing
Depending on the purpose, we rely on steps taken at your request before a contract, our legitimate interests in responding to business enquiries and administering the expert network, compliance with legal obligations, or consent where it is specifically required. We ask for separate optional consent if an expert wishes to receive communications about future opportunities. Optional marketing consent is not required to submit either form, and we do not automatically subscribe applicants or prospective clients to a marketing newsletter.
5. Expert network information
Professional information is collected through form fields to assess expertise and potential suitability for scientific AI assignments. Registration does not create an employment relationship or guarantee paid work. We may request further professional verification or contractual information separately if a suitable project opportunity arises. The current registration form does not collect CVs or identity documents.
6. Project enquiry information
Information submitted through Discuss a Project is used to understand the requirements, consider whether our capabilities may be suitable and respond to the enquiry. Please do not send confidential datasets, proprietary model information or sensitive research materials through the initial enquiry form.
7. Email communications
We use Resend as our current email delivery provider for project enquiry acknowledgements, expert registration acknowledgements, administrative notifications and related operational messages. These are transactional or operational communications, not marketing subscriptions.
8. Service providers
The website uses Replit platform services for hosting and application operation, a PostgreSQL database for submitted enquiry and expert registration records, Resend for email delivery, and Google Fonts to serve the website typeface. These providers may process information as needed to provide their services. We have not independently verified every provider’s contractual or security arrangements; those arrangements should be checked before publication.
9. International data transfers
Some providers may process information outside the United Kingdom. The processing locations and the specific transfer safeguards applicable to our Replit, Resend and Google Fonts services have not been verified for this draft. We will identify and describe the relevant UK adequacy decision or other appropriate safeguard once confirmed.
10. Data retention
The website currently has no confirmed fixed retention periods or automated deletion schedule for client enquiries, expert registrations, operational email records or security logs. Database records remain until removed through administrative database operations. The company must decide, document and implement a proportionate retention schedule for each category before this notice is published.
11. Data security
We seek to use appropriate technical and organisational measures to protect personal information, including secure transmission and restricted access where configured. No method of transmission or storage can be guaranteed completely secure. Specific security certifications, audit results and provider encryption arrangements have not been independently verified for this notice.
12. Your privacy rights
Subject to the circumstances and applicable law, you may have the right to access your personal information, request correction or erasure, restrict or object to processing, request portability where applicable, and withdraw consent where processing relies on consent. To exercise a right, contact teams@pawdux.ai. You may also complain to the Information Commissioner’s Office using its complaint service.
13. Cookies and similar technologies
The current public-site implementation does not identify analytics or advertising tags. A shared interface utility can set a preference cookie if a component using that utility is enabled; the public pages should be checked in the deployed configuration before publication. Hosting or embedded third-party services may also use technologies necessary to provide their services. If non-essential analytics or marketing technologies are introduced, this notice and any required consent controls will be updated.
14. Third-party websites
Our website may link to third-party websites. Their privacy practices are independent of PAWDUX LABS, and we are not responsible for how they handle personal information. Please read their privacy information when visiting them.
15. Children’s privacy
PAWDUX LABS provides professional business services and expert-network opportunities. The website is not intended to solicit applications from children, and we do not knowingly seek personal information from children through these forms.
16. Changes to this notice
We may update this notice to reflect changes in our operations, service providers or legal requirements. The latest revision date will be shown below.
17. Contact and complaints
You may raise a privacy concern directly with us at teams@pawdux.ai. You also have the right to complain to the UK Information Commissioner’s Office through its online complaint service.
Publication checks still required: confirm the data-controller role, retention schedule, deployed cookie behaviour, and international transfer safeguards for the service providers listed above.
